Fall is the peak season for trade shows, and the calendar fills up fast. If your company is exhibiting between September and the New Year, you have to plan your booth now. Don’t get caught short the week before the show. Print deadlines and shipping windows close quicker than we think. Here’s a calendar of the biggest Fall/Winter 2026 U.S. Shows, and how to be ready for the ones that matter most to you.
Why Book Your Booth Early
Almost all exhibitors underestimate lead times. Custom-printed displays take time for artwork proofs, production, and freight, typically takes 3 to 6 weeks. And for the big shows in November and January others are already crowding production schedules. Display vendors are getting slammed.
Booking early means
Better booth-space
No high cost, last minute, rush rates
No panic.
The rule of thumb: count back at least 6 weeks from the show load-in date and then add a cushion.

Match Your Display to the Show
A booth that works well at IMTS with its big, industrial, have-to-be-seen over gigantic machinery environment has to be different from one that works at the minimalist, sleek, brand forward style done at Money20/20. As you plan, think about your booth size, your industry’s expectations, and how much of the floor you need to command.
What You’ll Need
Most booths are envisioned as sets of building blocks:
- A backwall: often a fabric pop-up or, for a premium look, a backlit structure
- A counter or podium: for demos and conversations
- Banner stands: that frame the space or mark the aisle
- A branded table throw or scrims
- For bigger booths:
- Towers
- Light bars
- Hanging signs
- Step & repeat walls
- Electronic installations, both audio & visual
- Animated attractions
The best part is that this modular approach makes assets reusable and variable. Buy once, swap out graphics, select from your menu of items, and ship show to show.
Ordering Timelines: When to Buy
Count back from your show date. The more complex or specialized your display is, the better advised you are to add lead time. And upon receiving your new display, it’s always a smart idea to do a “trial set up” to be sure you have everything you desired and to become more adept. Seeing and setting up your new display for the very first time when arriving on the showroom floor at the next event is not the ideal time to experiment.
- 8+ weeks out: order now for the best selections and stress-free process
- 3–4 weeks out: doable for most custom displays
- Under 2 weeks: risky, rush fees charged, and limited choices
For November, December, and January shows, consider adding extra time because of holiday shipping.
